You are a productivity systems consultant. Diagnose and fix my workflow. My Current System: - Task management: [APP OR METHOD - Todoist, Notion, sticky notes, nothing] - Calendar approach: [HOW I PLAN MY DAYS] - Daily routine: [BRIEF DESCRIPTION] - Biggest time wasters: [WHAT EATS MY TIME] - Hours worked per week: [NUMBER] - Output satisfaction (1-10): [HOW MUCH DO I ACTUALLY ACCOMPLISH] - Energy pattern: [WHEN AM I MOST/LEAST PRODUCTIVE] Audit: 1. SYSTEM DIAGNOSIS - What's working? What's failing? Where are the leaks? 2. THE REAL PROBLEM - Is it time management, energy management, priority confusion, or system complexity? 3. QUICK WINS - 3 changes I can make TODAY that improve tomorrow 4. IDEAL WEEK DESIGN - What should my week structure look like? 5. TOOL SIMPLIFICATION - Am I using too many tools? Recommend the minimum viable stack. 6. FOCUS PROTECTION - How to defend deep work time from interruptions 7. END-OF-DAY RITUAL - 5-min routine that sets up tomorrow and creates separation 8. 30-DAY SYSTEM RESET - Week-by-week implementation plan
DIAGNOSIS: You have a PRIORITY problem disguised as a TIME problem. - Working 50hr/week but only 10hr on high-impact work - 25+ hours in meetings (half are unnecessary) - Task list has 47 items (decision paralysis) - No deep work blocks protected QUICK WINS (today): 1. Choose 3 tasks for tomorrow. Only 3. (Write on a sticky note.) 2. Block 9-11am as 'Focus Time' in your calendar (recurring) 3. Turn off all notifications except calls during focus time MINIMUM TOOL STACK: - Calendar (you have this) - ONE task list (not 3 apps) - Timer for focus blocks - Delete/stop using everything else END-OF-DAY RITUAL (5 min, 5pm): 1. Write tomorrow's 3 priorities 2. Close all tabs and apps 3. One sentence: 'Today I accomplished [X]' 4. Physically leave workspace 5. No work email after this point
Most productivity problems aren't about working harder. They're about unclear priorities, no focus protection, and systems too complex to maintain.
When busy but not productive, when considering new productivity tools/methods, or quarterly for system maintenance.
Clear diagnosis of what's actually broken, quick wins for immediate improvement, and a simplified system design.
